Waiting List

It’s not always possible to offer a reservation for a customer’s preferred date and time, as slots may already be booked. Similarly, you may face challenges in adjusting an active reservation to accommodate a customer’s request. Enabling the Waiting List option in the admin dashboard allows customers to join a waitlist for fully booked timeslots. If their requested timeslot becomes available, the reservation can be accepted, and the customer will receive a payment link.

The Waiting List feature is invaluable, allowing customers to secure busy timeslots without constant availability checks.

To activate the Waiting List, go to Settings > General Settings > Waiting List and enable the option.

Once the Waiting List feature is enabled, fully booked timeslots will appear on the booking calendar, giving customers the option to join a waitlist by selecting these times.
Booking these timeslots does not require payment, allowing customers to confirm their appointment without upfront payment. The appointment will remain with a “Waiting” status in your Appointments table until the timeslot becomes available.
Once a waitlisted timeslot becomes available, customers receive a notification with a payment link. To support this, a new event has been added to the Workflow specifically for the Waiting List. This event triggers when a previously booked timeslot is released due to a cancellation, sending notifications to staff about the open slot. Staff can then assign a waitlisted customer to the newly available timeslot, streamlining the process and optimizing booking efficiency.
